JOB DESCRIPTION
KEY RESPONSIBILITIES:
- Greets prospects and residents as they enter the office/leasing area, and ensure the comforts of prospects and visitors while they wait to speak with a team member.
- Answers phone calls, routes all calls to the appropriate team member for assistance, and assists with completed service request call backs as necessary. Maintains the guest suite schedule to ensure proper payment and cleanliness upon guest arrival and manages and coordinates the loading dock and/or elevator schedule for move-ins and move-outs.
- Ensures clubhouse amenities are in tour condition prior to leasing office opening each morning. Manages all package deliveries by documenting arrival information and notifying residents of all package deliveries within 24 hours.
- Maintains tracking logs for equipment rentals, dry cleaning services, and/or other services provided by the community. Assists the community team with scheduling, planning and organizing resident activities and programs.
- Keeps detailed information on local area restaurants, shops, delivery places, and other pertinent information that may be of interest to residents and maintains relationships and contacts with concierge vendors.
BASIC KNOWLEDGE & QUALIFICATIONS:
- Demonstrated ability to read, write, and communicate effectively with prospects, residents, vendors and co-workers.
- Demonstrated proficiency in word processing and spreadsheet management programs in order to complete any required correspondence or reports.
- Proficiency and fluency in using the internet for researching resident requests with programs such as Craigslist, Google and other search engines, and navigating the internet and websites.
- Strong organizational skills and attention to detail to produce error-free documentation and create orderly systems and processes.
REQUIRED LICENSE OR CERTIFICATIONS:
- Current driver’s license and automobile insurance.
- Incumbents must have all certifications as required by Province and Local jurisdictions.
- Incumbents must have valid driver’s license to operate a golf cart on property.
TRAVEL / PHYSICAL DEMANDS:
- Incumbents must be able to physically access all exterior and interior parts of the community and amenities.
- Incumbents must be able to push, pull, lift, carry, or maneuver weights of up to Nine (9) kilograms independently and Twenty Three (23) kilograms with assistance.
- Routine, local travel may be required to attend training classes, conduct market research, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position.
- Incumbents must be able to work a flexible work schedule, which may include weekends and/or holidays.
