JOB DESCRIPTION SUMMARY

This role supports and assists the Community Managers in a neighborhood model by overseeing and managing the financial and operational functions across four communities. Responsibilities include completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices for payment, collecting rent, fees, and other payments, completing bank deposits, managing dispositions, and performing account reconciliations. The role also requires using property management software to accurately record, track, and report all financial activity across the portfolio of four communities.

JOB DESCRIPTION

• Completes daily financial transactions across four communities in a neighborhood model by collecting and posting rent, fees, and other payments, preparing daily bank deposits, reconciling bank accounts, preparing financial reports, and processing invoices and payables.
• Operates property management software (Yardi/OneSite) across all four communities, ensuring all transactions are entered accurately, records are maintained correctly, and system updates and backups are completed to preserve data integrity.
• Reviews resident ledgers and accounting records across four communities to identify unpaid or late balances, communicates with residents regarding outstanding amounts, implements collection procedures for delinquencies, and enforces lease terms to maximize revenue.
• Reviews, codes, and submits vendor, contractor, and service provider invoices for four communities by reconciling work performed or goods received, obtaining Community Manager approval, assigning correct Chart of Account codes, and coordinating between vendors, accounting, and ownership as needed.
• Follows established Company eviction procedures across four communities, including proper notice requirements, coordination of legal filings, resident removal processes, and court representation as required.
• Processes resident move-outs across four communities by reviewing lease terms and notice requirements, applying appropriate charges such as deposits and lease cancellation fees when applicable, and completing disposition processing in accordance with company policy and legal requirements.
• Supports resident satisfaction and retention across four communities by responding to complaints, questions, and service requests in a timely manner and ensuring appropriate resolution of issues.
• Acts as on-site supervisor in the absence of any Community Manager, overseeing daily operations across four communities by organizing and delegating work, coordinating maintenance and make-ready activity with maintenance leadership, and ensuring compliance with company policies and procedures.
• Assists in managing client and owner relationships across four communities by participating in owner meetings, conducting community tours, providing performance updates, and responding to ownership requests as needed.
• May support leasing and marketing efforts across four communities by greeting prospective residents, collecting guest card information, touring units and models, assisting with applications and credit screening, and supporting lease execution and deposit collection.
• For California Only: The Assistant Community Manager or Leasing Manager must review all completed move-in files prior to submission to the Community Manager for review and approval.

BASIC KNOWLEDGE & QUALIFICATIONS:
•    Bachelor’s degree in Business Management, Communications, or related field from an accredited college or university. 

•    1-3 years minimum of relevant experience in residence life and/or property management that demonstrates the application of community management, sales, marketing, and customer service background sufficient to assist in managing the day-to-day operations of an apartment community, resolve customer complaints and issues, complete financial records, documents, and reports, increase sales revenues, and coordinate the work of a team.

•    Understanding of lease terms and lease enforcement, including collections.

•    Excellent written and verbal communication skills. 

•    Detail-oriented and self-motivated with the ability to work independently and as a collaborative member of a team. 

SPECIALIZED SKILLS:
•    Incumbents must have all licenses and/or certifications as required by State and Local jurisdictions
.
•    Incumbents must have valid driver’s license to drive a golf cart on property.

•    Demonstrated proficiency in Internet, word processing, spreadsheet, and database management programs in order to complete required reports and documents. 

•    Strong proficiency in using property management software (Yardi, OneSite, Entrata, etc.). 


TRAVEL / PHYSICAL DEMANDS:
•    Team members work in an office environment but also may have frequent exposure to outside elements where temperature, weather, odors, and/or landscape may be unpleasant and/or hazardous. Incumbents must be able to physically access all exterior and interior parts of the property and amenities.
•    Incumbents must be able to physically access all exterior and interior parts of the community and amenities.
•    Incumbents must be able to push, pull, lift, carry, or maneuver weights of up to twenty (20) pounds independently and fifty (50) pounds with assistance.
•    Routine local travel may be required to make bank deposits, attend training classes, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position.
•    Rare or occasional travel may be required to attend business meetings, training programs, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position.

The hourly range for the position is $34.00 - $36.00

Additional Compensation:

Many factors go into determining employee pay within the posted range including business requirements, prior experience, current skills and geographical location.

  • Corporate Positions: In addition to the base salary, this role may be eligible to participate in a quarterly or annual bonus program based on individual and company performance.

  • Onsite Property Positions: In addition to the base salary, this role may be eligible to participate in weekly, monthly, and/or quarterly bonus programs.
